AIFAQ Pro Global Privacy Notice Last Updated: November, 2025
This AIFAQ Pro Global Privacy Notice (“Notice”) explains how AIFAQ (AIFAQ, Inc. and its affiliates, “AIFAQ Pro”, “we”, “us”, or “our”) collects, uses, discloses, and otherwise processes information about individuals in connection with:
  • Our websites, including aifaq.pro and related subdomains that link to this Notice (the “Sites”),
  • Our AI-powered products and services, including AIFAQ enterprise assistants, connectors, and related software-as-a-service offerings (the “Services”),
  • Our events, sales, marketing, and support activities.
This Notice also describes the privacy rights that may be available to you under applicable law.
Important disclaimer (non-legal advice): This Notice is provided as a general description of AIFAQ’s data practices. It is not legal advice. You should consult your own legal counsel regarding your obligations.

1. Scope and Relationship to Customer Data:

We provide the AIFAQ Offerings to our customers under written agreements with them (each, a “Customer Agreement”). Our customers decide:
  • Which personnel or third parties are authorized to use AIFAQ ( “Authorized Users”), and
  • Which data sources, datasets, documents, or systems are connected to or processed by AIFAQ (“Customer Content” or “Customer Data”).
1.1. Customer Content vs. AIFAQ’s Own Data
  • This Notice does not govern Customer Content that our customers connect to or process through the AIFAQ Offerings (for example, documents, tables, tickets, or knowledge bases owned or controlled by our customers).
  • For that content, the customer is the primary “controller” or equivalent under data protection laws. Their own privacy notice (not this one) will explain how they handle your data.
  • AIFAQ processes Customer Content only according to the Customer Agreement and the customer’s documented instructions (for example, configuration settings, prompts, and role-based access controls).
If you have questions about personal information contained in Customer Content, you should contact the relevant AIFAQ customer or your employer directly.
This Notice does apply to the personal information that AIFAQ collects and uses in its own capacity, such as:
  • Contact information about customers, prospects, partners, and event attendees
  • Usage and telemetry data about how Authorized Users interact with the AIFAQ Offerings
  • Information collected through the Sites, marketing, and support channels.

2. Information You Provide to Us:
The types of personal information you may provide to us and the context in which we receive it include:
2.1. When You Use Our Sites
When you visit or interact with the Sites (for example, to request a demo, download resources, or sign up for a newsletter), we may collect information such as:
  • Name and contact details (e.g., email address, phone number, company, role)
  • Account registration information (e.g., username, password or login credential identifiers)
  • Preferences and interests (e.g., topics you select, forms you submit, events you register for)
  • Any other information you choose to provide in forms, surveys, chat, or feedback tools.
We will let you know at the point of collection whether certain information is required or optional.
2.2. When You Use the AIFAQ Offerings
When you or your organization registers for and uses the AIFAQ Offerings, we may collect:
  • Account and profile information: name, business email, organization, role, and authentication identifiers.
  • Billing and payment information: where applicable, we may collect or receive billing contact details and limited payment information (often through third-party payment processors).
  • Configuration and support information: information you share when opening support tickets, configuring connectors, setting up roles and permissions, or asking for implementation help.
2.3. Communications with Us
When you contact us—for example, via email, contact forms, live chat, or calls—we may collect:
  • Name, contact details, organization, and role
  • The content of your message or request
  • If applicable, meeting or call notes, and, where legally permitted and properly disclosed, call recordings or transcripts.
2.4. Events and Community Activities
When you register for or attend an AIFAQ-hosted or sponsored event (e.g., workshops, webinars, meetups, conferences), we may collect:
  • Registration details (name, contact information, organization, role)
  • Attendance details and your interactions with event content
  • Dietary or accessibility information you choose to provide for in-person events (where allowed and appropriate).

3. Information We Automatically Collect
When you use the Sites or the AIFAQ Offerings, we may automatically collect certain information, including in some cases personal information.
3.1. From the Sites
We automatically collect information about your visits to and use of the Sites, such as:
  • Device and browser information (IP address, operating system, browser type and version)
  • Log and usage data (pages viewed, links clicked, referring/exit pages, timestamps)
  • Data from cookies and similar technologies that uniquely identify your browser or device.
We use this information to operate, secure, and improve the Sites, understand visitor behavior, and support analytics and marketing activities. For more information, see our Cookie Policy (link/placeholder).
3.2. From the AIFAQ Offerings (Usage Data)
We collect data related to the performance, security, and usage of the AIFAQ Offerings (“Usage Data”). This can include:
  • Technical information about the environment from which AIFAQ is accessed (e.g., IP address, device type, operating system, browser or client version)
  • Account and user identifiers (e.g., user ID, tenant ID, role or group identifiers)
  • Interaction data (e.g., features used, clicks, query patterns, error logs, performance metrics, timestamps).
AIFAQ uses Usage Data to:
  • Provide, maintain, secure, and troubleshoot the AIFAQ Offerings
  • Monitor system health and performance
  • Analyze and improve features and user experience
  • Develop new offerings, models, and capabilities.
We generally design our telemetry so that Customer Content itself is not stored in our logs and to limit personal information in Usage Data to what is necessary for these purposes.

4. Information We Receive from Third Parties
We may receive information about you from third-party sources, such as:
  • Business partners, resellers, marketplace platforms, and integration partners
  • Public or professional websites (e.g., LinkedIn) and conference organizers
  • Marketing and data enrichment providers
  • Snowflake or other cloud marketplaces (see the Snowflake Addendum below).
The information we receive may include contact details, company and role data, account associations, and event registration information. We use this information to:
  • Maintain and update our records
  • Identify potential customers and users
  • Personalize and improve our communications and services.

5. Third-Party Services and Links
The Sites and AIFAQ Offerings may include links to third-party websites, apps, integrations, or services. Your use of those third-party properties—and any data you provide directly to them—is governed by the third party’s own terms and privacy notice, not this Notice.
When you connect third-party services (e.g., ticket systems, content repositories, communication platforms) to AIFAQ, we will process data from those services only as instructed by the customer and in accordance with the applicable Customer Agreement.

6. Online Advertising, Analytics, and Cookies
We may work with third-party providers to:
  • Measure and understand how visitors use the Sites
  • Deliver or measure online advertising for AIFAQ (for example, on social media or other sites)
  • Support retargeting or interest-based advertising in accordance with your choices and applicable law.
These providers may use cookies, pixels, and similar technologies to collect information about your use of the Sites and other online services over time. You can manage your cookie preferences through browser settings and, where available, our on-site cookie banner or preference center.
Where required by law, we will obtain your consent before placing certain cookies or similar technologies.

7. How We Use Personal Information
We use personal information for the purposes described below (and related compatible purposes), as permitted by applicable law:
  • Providing and operating the AIFAQ Offerings
    • Creating and managing accounts
    • Delivering and supporting features and services
    • Processing transactions and managing subscriptions.
  • Customer support and services
    • Responding to inquiries, tickets, and requests
    • Investigating and resolving technical issues
    • Providing onboarding, configuration, and training.
  • Security, fraud prevention, and compliance
    • Protecting the AIFAQ Offerings, our customers, and users
    • Monitoring, detecting, and preventing security incidents, abuse, or fraud
    • Enforcing our terms, policies, and agreements.
  • Improvement, research, and development
    • Analyzing usage and performance trends
    • Testing and improving features, models, and user experience
    • Developing new products, integrations, and services.
  • Sales, marketing, and communications
    • Sending service-related notices (e.g., updates, security alerts, transactional emails)
    • Sending marketing or promotional communications where permitted (and honoring your choices)
    • Organizing and managing events, webinars, and community programs.
  • Legal, regulatory, and business operations
    • Complying with legal obligations and responding to lawful requests
    • Managing business reporting, audits, and risk
    • Supporting corporate transactions (e.g., mergers, acquisitions, financing).
We will not use personal information for materially different purposes than those described here without providing additional notice and, where required, obtaining your consent.

8. How We Share Personal Information
We may share personal information with:
  • Service providers and vendors who perform services on our behalf (e.g., hosting, payments, customer support tools, email, analytics, security). These parties are bound by contractual obligations to use personal information only as instructed by AIFAQ.
  • Partners, resellers, and marketplace platforms in connection with joint marketing, sales, or provision of the AIFAQ Offerings, including Snowflake as a marketplace operator.
  • Event and community partners when we co-host or sponsor events or programs and you choose to register or participate.
  • Professional advisors (lawyers, auditors, accountants) pursuant to appropriate obligations of confidentiality.
  • Corporate transaction counterparts if we are involved in a merger, acquisition, financing, or sale of all or part of our business.
  • Government authorities or other third parties when required to comply with law or protect rights, security, and safety.
We may also share aggregated, de-identified, or anonymized information that does not identify individuals.
We do not sell personal information as that term is defined under many privacy laws, and we do not knowingly sell or share personal information of children.

9. Legal Bases for Processing
(Where Applicable)In jurisdictions that require a legal basis for processing (for example, the EEA, UK, and certain other regions), AIFAQ relies on one or more of the following:
  • Your consent, where required (e.g., for certain marketing or cookies);
  • Performance of a contract, including providing the AIFAQ Offerings under a Customer Agreement;
  • Our legitimate interests, such as operating, improving, and securing the AIFAQ Offerings, marketing to business contacts, and supporting our business, where those interests are not overridden by your rights and freedoms;
  • Compliance with legal obligations to which we are subject; and
  • Protection of vital interests of individuals, where applicable.

10. Security of Your Personal Information
We use reasonable and appropriate technical and organizational measures to protect personal information against accidental or unlawful destruction, loss, alteration, unauthorized disclosure, or access. These measures may include:
  • Access controls and authentication
  • Encryption in transit and at rest where appropriate
  • Network and application security practices
  • Logging, monitoring, and incident response processes
  • Employee training and confidentiality obligations.
No system can be guaranteed to be perfectly secure, but we work to continuously improve our security posture.

11. International Data Transfers
AIFAQ may process personal information in countries other than the one in which you reside. Those countries may have data protection laws that differ from those in your jurisdiction and may not provide the same level of protection.
Where required, we implement appropriate safeguards for cross-border transfers, such as:
  • Standard contractual clauses approved by relevant regulators
  • Other lawful transfer mechanisms recognized by applicable law.
Customers using the AIFAQ Offerings inside their own cloud or Snowflake environments remain responsible for their own international data transfer compliance obligations with respect to Customer Content.

12. Your Choices
Depending on where you live, you may have certain choices regarding the use of your personal information:
  • Marketing communications: You can opt out of marketing emails by following the instructions in those messages or contacting us at the address in Section 18. We may still send you non-marketing messages (e.g., service updates, security alerts).
  • Cookies and tracking: You can manage cookies via your browser settings or, where available, through our cookie banner or preference center.
  • Account settings: If you are an Authorized User, you may be able to update certain profile or account information via your organization’s admin or within the AIFAQ interface.

13. U.S. State Privacy Disclosures
(Including California) Certain U.S. state laws (such as the California Consumer Privacy Act (CCPA) and similar state laws) provide residents with specific rights, such as the right to:
  • Know what categories of personal information are collected, used, disclosed, and shared
  • Access certain personal information
  • Request deletion of certain personal information
  • Correct inaccurate personal information
  • Opt out of certain types of sharing or targeted advertising, where applicable.
AIFAQ:
  • Does not sell personal information as that term is defined in many state privacy laws;
  • Does not use or disclose sensitive personal information for purposes beyond those allowed by applicable law without additional notice; and
  • Does not discriminate against individuals for exercising their privacy rights.
You can exercise your rights, where applicable, by contacting us as described in Section 18. We will take reasonable steps to verify your identity before responding. You may be able to use an authorized agent, subject to additional verification requirements.

14. Your Privacy Rights
Subject to applicable law, you may have the right to:
  • Request access to, or a copy of, your personal information
  • Request correction of inaccurate or incomplete personal information
  • Request deletion of personal information
  • Object to or request restriction of certain processing
  • Request data portability
  • Withdraw consent where processing is based on consent (without affecting prior lawful processing)
  • Lodge a complaint with a data protection authority where you believe your rights have been violated.
For personal information that is part of Customer Content, we act as a processor/service provider on behalf of our customers. In that case, you should direct your request to the relevant AIFAQ customer (e.g., your employer). We will support our customers in responding to such requests as required by the Customer Agreement and applicable law.

15. Data Retention
We retain personal information for as long as reasonably necessary to:
  • Provide the AIFAQ Offerings
  • Fulfill the purposes described in this Notice
  • Comply with legal, tax, or accounting requirements
  • Enforce or defend legal claims.
When we no longer have a legitimate business need to process personal information, we will delete, anonymize, or securely store it and isolate it from further processing, as required by law and our internal policies.
Customer Content is retained in accordance with the relevant Customer Agreement and the customer’s configuration and instructions.

16. Changes to This Notice
We may update this Notice from time to time. When we do, we will revise the “Last Updated” date at the top. If we make material changes, we will provide additional notice as appropriate (for example, via the Sites, email, or in-product notifications).

18. Addendum:
AIFAQ Offerings on the Snowflake Marketplace and Use in Your Snowflake Environment. This Addendum supplements the Notice and applies when you deploy or use AIFAQ listings available through the Snowflake Marketplace, and when AIFAQ runs inside your own Snowflake environment.
18.1. Deployment Model and Roles
  • When you subscribe to an AIFAQ listing on the Snowflake Marketplace, the AIFAQ application is designed to run within your Snowflake account or data plane, using data sources that you control.
  • For Customer Content processed inside your Snowflake environment, you (or your organization) remain the data controller (or equivalent) with respect to that data.
  • AIFAQ acts as a processor/service provider to you, processing Customer Content solely under your instructions, the relevant Marketplace terms, and the Customer Agreement.
Snowflake, as the marketplace operator and cloud data platform, is an independent entity. Its processing of your information is governed by Snowflake’s own terms and privacy notices, not this Notice.
18.2. Customer Content Inside Snowflake
When you use AIFAQ in your Snowflake environment:
  • Your underlying Snowflake data (tables, views, files, and other objects) remains resident in your Snowflake account, according to your own Snowflake configuration.
  • AIFAQ uses the permissions and roles you configure to generate queries and responses. AIFAQ does not independently decide which datasets to connect; those choices are made and controlled by you.
  • We design AIFAQ so that Customer Content is not copied out of your Snowflake account to AIFAQ’s own infrastructure except where you explicitly configure features that require such transfers (for example, specific logging, optional offline analysis, or support data you choose to share).
You are responsible for:
  • Configuring roles and permissions in Snowflake that govern access to Customer Content
  • Ensuring that your use of AIFAQ with Snowflake complies with your internal policies, contracts, and applicable laws
  •  Providing any required privacy notices or consents to your own users.
18.3. Marketplace Account and Contact Information 
When you subscribe to AIFAQ through the Snowflake Marketplace, we may receive from Snowflake or directly collect from you limited information such as:
  • Organization name, account identifiers, and region
  • Billing or subscription-related details
  • Named contact persons (e.g., technical contact, billing contact).
We use this information to:
  • Provision and manage your AIFAQ subscription
  • Provide support and communicate service-related information
  • Comply with our contractual and legal obligations.
18.4. Usage Data and Telemetry within Snowflake
In connection with your use of AIFAQ in Snowflake, AIFAQ may collect Usage Data, which can include:
  • Pseudonymous user or session identifiers
  • Feature and model usage metrics
  • Performance metrics (e.g., query execution times, error codes)
  • High-level metadata about interactions (e.g., which connectors or agents were invoked), configured to avoid storing your Customer Content in our telemetry wherever possible.
We use Usage Data to:
  • Operate, maintain, and improve the AIFAQ Offering
  • Troubleshoot and support your deployment
  • Enhance security and prevent abuse.
Where Usage Data includes personal information, it is processed in accordance with this Notice and, as applicable, our role as a processor or service provider under your Customer Agreement.
18.5. Support, Diagnostics, and Access
In some cases, you may choose to grant AIFAQ support personnel temporary access to certain elements of your Snowflake environment (for example, via read-only roles, logs, or shared objects) to resolve an issue. In these situations:
  • Access is granted by you and limited to what is necessary to diagnose and resolve the issue;
  • Our support personnel are bound by confidentiality obligations;
  • Any diagnostic data exported or shared with AIFAQ is handled in accordance with this Notice and the Customer Agreement.
You can revoke such access at any time through your Snowflake configuration.
18.6. Snowflake Marketplace–Specific Privacy Responsibilities
When you use AIFAQ via the Snowflake Marketplace:
  • Snowflake remains responsible for its own collection and use of personal information as the marketplace provider and data platform.
  • AIFAQ remains responsible for personal information we process in connection with the AIFAQ Offerings, including Usage Data and contact information received or collected in relation to your subscription.
  • You are responsible for ensuring that your deployment, role configuration, and data sources comply with your organizational policies and applicable data protection laws (including providing your own user privacy notices and mechanisms to exercise rights).
If there is any conflict between this Addendum and the rest of the Notice regarding AIFAQ’s processing of data in your Snowflake environment, this Addendum will control for that specific context.
